ABSTRACT

The integration of computer technology into educational institutions has significantly influenced various academic disciplines, including Office Technology and Management (OTM). This study examines the impact of computers on the OTM department of Osun State Polytechnic, Iree, focusing on how the use of computers has enhanced administrative tasks, teaching, and learning processes within the department. The study explores the level of computer literacy among students and faculty, evaluates the effectiveness of computer-based tools, and identifies the challenges faced in incorporating computer technology into office management practices.

A mixed-methods approach was adopted, involving the use of questionnaires, interviews, and observational methods to collect data from both students and faculty members in the OTM department. The findings reveal that computer technology has significantly improved the efficiency of office-related tasks, such as document processing, data management, and communication. However, challenges such as inadequate access to computers, insufficient training, and outdated curriculum content were identified as barriers to full technological integration.

The study concludes that while the impact of computers on the OTM department is largely positive, there is a need for continuous updates in the curriculum, improved access to technological resources, and enhanced training for both students and faculty. Recommendations are made to strengthen the integration of computer technology in OTM education, thereby better preparing students for the demands of the modern office environment.

INTRODUCTION

1.1 Background to the Study

The advent of computers has revolutionized various fields of human endeavor, with the educational and professional sectors being no exception. In particular, Office Technology and Management (OTM) departments, which are primarily concerned with equipping students with administrative and technological skills, have experienced significant transformations due to the integration of computer technology. The traditional office environment, characterized by manual processes and paperwork, has evolved into a modern, automated, and highly efficient workspace. This shift has created a demand for OTM graduates who are not only adept at managing office operations but also proficient in the use of computer applications and software that facilitate these tasks.

In Nigeria, polytechnics such as Osun State Polytechnic, Iree, play a crucial role in training individuals in office management skills. As an institution committed to technical and vocational education, Osun State Polytechnic has incorporated computer-based learning into its OTM curriculum. This integration aims to enhance the competence of students in various aspects of office management, such as data entry, document processing, and communication, while also fostering their adaptability to contemporary office practices.

The impact of computers on the OTM department cannot be overstated. Computers have transformed how administrative tasks are performed, enabling greater efficiency, accuracy, and productivity. From word processing and spreadsheets to database management and presentation software, computer literacy is now an essential skill for OTM students and professionals. This study seeks to examine the specific impact that computers have had on the OTM department of Osun State Polytechnic, Iree, in terms of teaching, learning, and overall departmental performance.

1.2 Statement of the Problem

The use of computers in the OTM department of Osun State Polytechnic, Iree, has introduced both opportunities and challenges. While the integration of technology has undoubtedly improved the efficiency of office-related tasks, it has also exposed gaps in the skill levels of students and faculty. Many students enter the department with limited computer literacy, and as a result, they struggle to keep up with the demands of a technologically driven curriculum. Additionally, some faculty members may not be fully equipped to teach advanced computer applications effectively, which could hinder the students’ learning experience.

Moreover, the rapid pace of technological advancement requires continuous updates to the curriculum to ensure that students are well-prepared for the modern office environment. Without these updates, the department risks producing graduates who may not meet the current needs of the labor market. This study aims to investigate the impact of computers on the teaching and learning processes within the OTM department, focusing on how well the department has adapted to these technological changes and the challenges that have arisen.

1.3 Objectives of the Study

The primary objective of this study is to assess the impact of computer technology on the Office Technology and Management department of Osun State Polytechnic, Iree. Specifically, the study seeks to:

Investigate how computers have improved the efficiency of administrative tasks within the department.

Evaluate the level of computer literacy among students and faculty in the OTM department.

Analyze the effectiveness of computer-based learning tools and resources in the department.

Identify the challenges faced by students and faculty in integrating computer technology into office management practices.

1.4 Research Questions

The following hypotheses will be tested in the course of the study:

1.6 Significance of the Study

CHAPTER ONE

Introduction

1.1   Background of the Study

The orphanage home is one of the numerous social institution that have emerged over the year to carter for some of the social needs  of orphanage associated with such problems.

Motherless  babies  have nowadays  become common because of the moral decadence of the society young people who cannot cater  for themselves find themselves  put in the   family  way they end  up find abandoning those innocent helpless babies.  The increasing hardship because of the present economic recession  has  increased the incidence of burden  family relationship and  the consequent loss  of firm control of  family members.

This has tended as evidence  by the  increasing number of abandoned babies such babies have become the central focus of the orphanage home the impact of orphanage home on child personality development that is the behaviour pattern of social behariour on child personality  development.                 

The research try to compare children between the age of one (1) month to three (3) years that grows up in orphanage home  to those that grow-up with their parent children  from the orphanage behave  in a unique pattern thereby displaying some certain social behaviour attitude that could be associated with the up bringing in the orphanage home. I want to find out the positive and negative aspect of orphanage home on children personality development generally.  Any baby that  lost his or her  parent  especially the mother by what every means  become mentally ill once it is discovered the illness is taken from the mother by the  orphanage   children abandon  in hospital  or on the street are taken to the orphanage home.

Social welfare services and training of professional social workers of all categories social workers can  succeed out making their contribution towards realizing their objective of government  in improving people welfare only after they have keenly understood the problem.

The causes and the effect of those people on he community the desertation is an attempt toward such changes taking place and their documentation the study will focus on the impact of the orphanage home on  child personality  development in the  later parts of his life.    

The Kaduna orphanage home is the birth child of Jammiyyar Matan Arewa.

The Jamiyar Matan Arewa itself is a social organization of northern women  established on the 27th May 1963 it  was aimed at unifying the women folk and  providing hem with a  forum of welfare activities.

The organization was to  be non-political  and it membership was to be opened   to all  tribes religions or social status at the very first meeting of the Jammiyar Matan Arewa which took place in the house of General Hassan Usman Katsina a steering committee was set up to carry on the task of mobilizing women for the association and also to plan and organize fund raising  activities to meet up the financial obligation of  the association.

1.2   Statement of the Problem

Children brought up in the orphanage home cannot cope effectively with the outside world this display in their dispositions because most of them tend to be introverts and always want to keep to themselves in few causes they turn out to be backward in speed and verbal  intelligence.

According to Segmund Fraud (1945) children who grown  up in the orphanage home may likely to affected in their  culture tradition, and religion are  their interests  belief ambitions ideas and soon thus affecting the personality  development as their behaviors is not only more indiscriminate but more immature than those children who are with their natural parent. Hence the increase in various research as to find out the effectiveness and influence of these home (orphanage home) on the child personality development.

THE ROLES OF OFFICE MANAGERS IN THE DEVELOPMENT OF ORGANIZATIONS

ABSTRACT

The aim of this project is to find out the roles of office managers in the achievement of organizational goal. To be able to carry out this study, the researcher reviewed relevant literature on the issue to form the theoretical base of the subject. Two purpose of study used are: (i) to identify the goal of office managers in the achievement of organizational goals. (ii) to examine how office managers carryout their function in order to achieve organizational goal. Two research questions posed are: What are the duties/responsibilities of office managers in the achievement of organizational goals? The main instrument used in collecting data for the study is the questionnaire. The questionnaires consists of forty (40) items which were submitted to the project supervisor who corrected and approved it before it was administered. The questionnaire were later administered by the researcher and the data obtained were analyzed, using simple percentages. The population of the study was Eighty (80) office manager’s out of which sixty (40) were used as the sample size. The major findings of the study are the availability and use of modern office equipment will inevitably affect the activities and output of the secretary in offices and business organizations. Based on the above findings, it was recommended that Office managers should be seen as the image makers of organization in any nation, and should be duly compensated this compensation would help in no small measure in giving hem sense of belongings.

INTRODUCTION

1.1   BACKGROUND OF THE STUDY

Several changes have taken place in private and public offices as regards the roles and functions of the office manager. The type of machines and gadgets that were used to produce, duplicate and store information has undergone a great transformation to cope with the fast growing world of technology. The success of any organization and management relies much on the office managers, whose role though supportive is critical to the achievement of organizational goals and objectives.

In today’s organizations, one of the things that make organizations unique is the use of modern technological gadgets.  Internal and external forces such as market competition, consumer behaviour, technology and quality management are the drivers of organizational change. In today’s business world, every office requires facts and accurate information for quick decision making (Arora S P 1985) Office Organization and Management, in the Modern Office, the role of the office manager is crucial in the life or progress of an organization hence he needs some technological and human relation skill at the workplace. The effective performance of the Office Manager depends upon his technological knowledge, ICT skill and managerial know-how.

The skill level and functioning of the traditional office managers involve greater physical and mental ability. The introduction of modern technologies and programmes has reduced the onerous tasks of the modern office managers. These range from production, reproduction, storage and retrieval among others. With this advancement of technology, the use of the computer and software programmes facilitate the work of the modern office managers. These include the use of machines such as ITC printers, fax, pen drive, cell phones, photo copier, telex and internet. These requisite knowledge and skills which make the position of the office manager rather challenging.

With the improvement in office technology and recent developments in the office, the work of the office managers becomes easier.

However, new developments brought by technological changes require even more knowledge and skills. For the office managers to be abreast with the changing times, he faces challenges training and retraining to meet organizational objectives.

The organizational goal and objectives of the study are to establish how to manage the availability of modern office gadgets. It also measures the knowledge and usage of office equipment, therefore the purpose of this research is to examine the role of office management in the achievement of organizational goal.

1.2   STATEMENT OF THE PROBLEM

Over the years there has been serious misconception about office managers by the public and others who are not in the profession. Some people look down upon them as (Typists, and stenographers) and work according to the wishes of the bosses. Others see them as subordinate, who cannot actually act even when there is need for them to do so unless with authority from their superiors. According to Chopra R K (1985), “some Nigerians do not accord office managers the respect due to them because they strongly believe that office managers are inconsequential and unproductive thereby do not in any way contribute towards the national economic development as of managing the office.

Office managers are misunderstood, misplaced and neglected to the background by many bosses and as a result fail to place them in their right position.

This research work is aimed at discussing fully the contributions of office managers towards the national economic development and some constraints in performance of their job such as lack of adequate equipment poor remuneration, inadequate training on the job and poor human relation among office managers, bosses and lack of encouragement by executives.

1.3   PURPOSE OF THE STUDY

The aim of the study is to identify the role of office managers in the achievement of organizational goal. The specific objectives are:

    To identify the goal of office managers in the achievement of organizational goals.

    To examine how office managers carryout their function in order to achieve organizational goals.

    To identify the constraints of office management in the achievement of organizational goals.

    To explore ways of overcoming the problems affecting the office manager in the performance of his duties

1.5   SIGNIFICANCE OF THE STUDY

The study will enable the management of business organization in the country to re-evaluate their misconception of office managers and also enhance the office manager’s role in the organization.

The study will contribute towards national economic development. It will enable office managers know what is expected of them and educational background they need to attain before qualifying as office managers of modern organization.

Hence attention is now given to what the office does and the way in which office activities can be accomplished in an efficient and an effective way an office manager is responsible for the smooth operation of the day-to-day business of the company, a good office manager makes it possible for other people to function efficiently. Office managers work closely with the company partners, owner, or president to meet their company’s staffing, equipment, and organizational needs. Duties may include pricing products from vendors, interviewing job applicants, managing payroll, and reimbursing members of the firm for out-of-pocket business expenses, and so the need for information technology had to come into play as information technology has replaced the traditional equipment used by an office manager to perform his tasks.

Montgomerie (2004), defines information technology as the handling of vocal, pictorial, textual and numerical Information by means of micro-electronic based equipment in computing and telecommunication. This clearly brings about the advantages of information delivery through technological means, since almost all aspects of office work can adequately be taken care of.

Aronu (2000) defines Information Technology as the combination of two technologies, computing and the main purpose of which is to transmit representation of information signals between remote locations.

  1. Statement of the Problem

Office Managers in banking sectors in Nigeria are scared of losing their jobs due to the advent of information technology. Never the less, Information technology when properly implemented in an organization will bring about productivity and easy flow of information, effective production delivery services to customers.

Unfortunately, it appears that the introduction of information technology seems to pose some problem to office managers.

Office Managers in banking sector in Nigeria, seems to be scared of losing their jobs because some of them are inexperienced in the use of modern gadgets such as facsimile Transfer (FAX), video conferencing. As a result of this it has created fear and instability in the office managers as it seems as if most of them are looking for alternative jobs.

The introduction of technology in the banking sectors in Nigeria would bring about improved performance, but it appears to be at a very high cost-that is the cost of maintenance of equipment   and services.

The aim of the study is to find the effect of Information Technology on the performance of the office Manager. The specific objectives of the study are to:-

1.      To establish the contributions of Information Technology towards efficient performance of the office manager.

2.      To determine the causes of non adaptation of Information Technology in the banking sectors by office managers.

3.      To determine the implications of poor Information Technology applications among office managers in the banking sector.

1.5    Significance of the Study

1.      Organization: The study will help treat and improve some existing theories on Information as they apply to organizations as well as the office professionals   in the areas of human resources management. It has also become a vital and integral part of every business plan .It will also help organization to improve the way they design and manage customer relationships.

2.      Further Research: It is also hoped that the findings of this study will contribute to the existing knowledge and information in the area of research.

3.      Office Practitioners: The significance of this research work is immeasurable both to the practitioners, office professionals, chief executives, personnel managers, the management of the organizations and the public at large. INTRODUCTION

1.1 Background of the study

In the recent times, The National Board for Technical Education enhanced the objectives of the secretarial training. Hence the nomenclature changed to office Technology manager. This affected both the curriculum of Colleges of Education and Polytechnics. The Polytechnic curriculum composes of four main components for both National Diploma and Higher National Diploma hence, General Studies/Education Foundation courses, Professional courses, SIWES. The professional courses are courses which give the student the theory and practical skills he needs to practice as a secretary. This may account for between 60percent to 70percent of the contact hours of study.

According to Agboola (2014) greater prominence is given to ICT courses than shorthand and keyboarding; which had credit hours drastically reduced. The purpose is to actualize the demand for supply of manpower who have appropriate office skills and competences to manage office view technologies to profit the organization given the current wave of information communication technology.

The OTM career encourages employment creation given multifaceted skills embedded in it including: reprographics, word processing, micrographics, telecommunication, data processing and others.

Merraim Webster Dictionary (2013) explains skill as ability coming from one’s knowledge practice or aptitude to do something well. Etonyeaku (2008) added that it involves practical knowledge in combination with cleverness, expertise, dexterity and ability to perform a function which could be acquired or learnt in school.

There are areas which require immediate attention as standing on the perception of Aina (2002) that business education inculcating OTM is concerned with development of individuals, person skills and attitudes, communication and occupational skills, technological literacy, employability skills, broad specific occupational skills and knowledge, Oladunjoye 2015 asserts that the products of a deficient curriculum cannot function effectively and efficiently in today’s consistent change in the work environment.

Computer studies was first examined at SSCE level – WAEC in 2014 and has become optional in SSCE. The basic Education at JSS level is exclusive of shorthand but optional in Secondary School. The revised edition of the Federal Republic of Nigeria (2014) outlined that the acquisition of appropriate skills, abilities and competencies both mental and physical as equipment for the individual to live in and contribute to the development of the society. The objective of each level of education is to give the individual a climbing stone to a higher level. Where the secondary school curriculum is inadequate, it cannot prepare students for useful living and solid higher education.

1.2 Statement of the Problem

Office Technology and Management is embedded with a conglomerate of courses inclined to development of skills and competencies. It has been observed that there certain criteria which must be met by teachers, students and policy makers in order to achieve the overall objectives of the programme in the polytechnic.

With the unprecedented rate of change in technology as requiring knowledgeable workers and creating entrepreneur opportunities, students need to be adequately prepared to make choices and acquire basic skills to enhance learning. Other critical issues requiring immediate attention include as follows: inadequate number of trained teachers, poor societal perceptions, retraining of teachers on e-teaching platform, poor industry/institutional collaboration, incessant strike actions and proper utilization of modern ICT.

2.    Determine the critical issues in the learning of OTM in the 21st century.

1.1    Background of the Study

Industrial Training is the training given to the students in tertiary institution in order to know the responsibilities of human resources development and how they will tackle their work/job after their school career.

The Industrial Training Funds was set up by (SIWES) Students Industrial Work Experience Scheme programme to help students in tertiary institutions especially those offering practical courses such as Office Technology and Management students, Art and Applied Sciences, Engineering students etc. to achieve their required training skills for their professions.

This programme has brought about many positive effects on the students.  As the manager’s job is to provide service to the general public, industrial training helps to expose managers to industrial behaviour in order to improve on practical aspect of their course.  According to Okafor (1993), this type of experience would expose students to the world of work and help them remedy the deficiencies of the classroom in terms of its practical components.

Thus, the Industrial Training Fund programs help Office Managers to perfect in their profession.  For instance, some courses in Office Technology and Management line is Office Management System, Office Practice, Principle of Law, Advance Transcription, Information and Communication Technology (ICT), Human Capital Management etc. are being taught theoretical in school.

In Polytechnics, Office Managers due go to four months Industrial Training (IT), in their first year, in second year another one year Industrial Training making them acquire the necessary skills to perfect in their course of study.

Students experience during the course of their training will definitely help them to carry out their managerial work effectively provided that the programme of the Industrial Training Fund (ITF) is a continuous process.  The experiences gotten by students is a good tool that responds to a certain basic aspect of the students fullest development in the Office Management and Technology course making them acquire the necessary skills.

The most serious problem facing the students before the introduction of the Industrial Training (IT) is unemployment.  Many of them do not possess the relevant and employable skills needed by employers, students are being faced with the problem of acquiring the needed practical knowledge.  Thereby, making the students to imagine everything that are being taught.  But the introduction of this IT programme has helped Office Managers to perform well, especially in getting direct contact with some of the new office gazettes that have been taught theoretically in school.

The SIWES objectives is to help students to find solution to the problem of unemployment, to take their steps in the journey through their life career with pleasure, confidence, and to prepare students for the world.

Taylor (1983) had concluded that students who have benefited from SIWES opportunities pass on to the next level and are ready to accept any challenges of learning skills in their career.  For this reasons the potential managers that went through the industrial training fund programme benefited from many effects needed for their experiences and exposure.

The management problem of the industrial training is on how to achieve the organization goal.  And the effort of well trained managers as Folayan (1998) stated is a sine quo non for the achievement of the organizational corporate goal.

Before the introduction of Industrial Training Scheme, the Office Manager’s attitude and performance in school and outside school was very discouraging. 

The Federal Military Government introduced this programme (IT) to guide and direct the Office Manager’s learning so that they will carry out their work/job effectively and accurately.

Atuenyi (1995), pointed out that “Office Managers need urgent training right from their year one in higher institution in order to meet up with the information technology demand in any organization”.

Another problem bordering on this is the problem of how often the supervision staff in Industrial Training Fund (ITF) visits the students on attachment and allowance paid to students on attachment.

CHAPTER ONE

INTRODUCTION

1.1       Background of the study

An office equipment have gone beyond manual typewriter, ink, pot, local storage facilities etc. into more complicated and effective modern office equipment. Some organization has embraced and purchases some of this equipment while others has not. In light of the above, the researcher decided to investigate the availability of this equipment and its effect on workers productivity.

In the early, age office activities which include paperwork was done manually with the use of machine such as manual typewriter, large duplicating machine, collating machine etc. These later developed into new modern office equipment due to the disadvantage which includes noise, bulkiness, lack of speed, waste of energy, time and resources.

Today, office equipment is required in every field of specialization, this is because they facilitate clerical work and preparation of office documents. The use of fax machines, WAP phones, teleprinters, internet and e-mail facilities etc. is now the order of the day. These have now made the work of the office professional more efficient than what it used to be and given rise to what is now known as the modern office. Other equipment include punchers, staplers, electric fan, air conditioners, enhanced furniture and fitting to create a more comfortable and convenient work environment for office activities to be carried out smoothly.

Mills and Ford (2008), noted that office equipment enable workers to work with minimum fatigue. It does not only increase efficiency but boost production process which is the main objective of the organization. Office work is made easier as less effort is put into achieve a greater result. An employee may not have to go from one place to another but can easily sit at his table and carry out his regular office activities. However, today’s office cannot be discussed without relating to technology.

According to Alli and Akinbi (1998), technology is an alteration in the life of an equipment, character, knowledge and method of doing things. The impact of these equipment resulted into acquisition of needed office professionals to effectively operate these facilities in order to be relevant in their labour market.

Pickard (2006), also states that employees who feel good are likely to be more productive. It is easy to instinctively understand that a few standard equipment in the office will make it a nicer place to be for employees feel better as a result. However, when the finance manager wants to know why thousand of money is wasted every year on caring for a few office equipment, it is difficult to effectively demonstrate the bottom line return on such an investment.

Many organizations are being driven by the value systems of office equipment rather than its contribution to the organizations productivity.   In recent times, employees learn to operate new office equipment mainly through attending courses, trainings, workshop and seminars during which manufacturers will introduce their products and demonstrate by giving illustrations about their equipment to various operators.

Pickard further stresses that the office is the center of social interaction and the design provide better meeting rooms, open spaces and telecommunication facilities demands serious attention. The stacking plans for the building are equally important, an efficient office layout will take careful operational advances to optimize the use of assets, facilities and function in use.

Boating (1992) state that today’s modern office equipment depend largely on the use of office equipments to maximize and increase organizational productivity. Office equipment help in making office work easier, efficient and time saving and ensures accuracy.

Watson (1999), emphasizes that technology changes has tremendously made an impact in various organizations especially with regards to the office. He points out that office automation product looks nothing like it did just 10 years ago. Outfitted with some of the most modern business systems and equipment, the office today is a contemporary and strict place for business. The sound of noisy and distracting equipment or unsightly machines is now a thing of the past. The quality of output cannot be compared to what it looks like years ago.

Roger (2008), points out that environment now resembles any peaceful environment that you can easily relax in and not feel overwhelmed with huge and bulky machines. Some of the hardware cannot be seen easily unless you look really hard. 

However, office professionals need to be trained to be acquainted with the use, procurement and maintenance of existing office equipment as well as know its relevance and benefits to the organization as a whole. This is to enable organization face the challenges associated with it. This is because despite the fact that the technology has changed and transformed the office to a better one. There are still some problems and aspects that cannot be overlooked as a result of those technological changes. The use of some of this equipment has adverse effects on the operators and the organization in general; which can also have effect on its production level.

The equipment has more from the traditional age to the modern age and therefore, there is need for the modern equipment to be available to the users. It is in this regard that the study is embarked on which is titled “An Assessment of the availability of the equipment and its effect on organization productivity.

1.2    Statement of the Problem

The impact of the office equipment is of paramount importance to any organization. However, there are some foreseeable problems along with the numerous advantages of its existence. Many organizations do not put this into consideration especially when it comes to organization productivity.

Office equipment increases the rate of intra and inter office communication, however, the cost of installation and keeping the equipment in a working state is exorbitant. He pointed out that the initial cost outlay and maintenance of the equipment will increase their expenses. As a result of this some organization do not purchase or make use of them without checking the cost effect.

Office professionals are not trained on the proper use of equipment or the various maintenance procedure that is required of equipment. He reveals that since not all products are manufacture or serviced by a single company, there should be a list of who to call incase of emergencies. As a result of this the slightest malfunction problem gets out of hand. There is no safety rule or training measures given to employee on how to go about using equipment without it affecting their health.

Many organization do not provide adequate necessary equipment for their employees even there is need for it, In some organizations these equipment, through they exist strict measures, rules and protocols need to be followed as declared by the management before employees can have full access to them.

There is also the general problem which is the fact that the benefit of using office equipment is not known to many organizations and as a result acquiring them is not their priority. The aspects of cost of purchasing it is core viewed as disadvantages and prefer to employ people to work instead of machine. This will not enable the employees to perform their duties efficiently and will slow down the production process.

In the light of the foregoing, the researcher will answer the following questions:

1.           There are limited numbers of equipment that are available and those that are available are obsolete.

2.           Does organization achieved maximum production without the use of \equipment?

3.           Inadequate funding for procurement and maintenance of office equipment?

4.           How adequate are the furniture/fitting within the company?

1.3    Purpose of the study

The major purpose of this study is to access the availability of office equipment and its effect on organizational productivity. Specifically, the study indents:

1.           To find out the availability of office equipment within Kaduna Polytechnic .

2.           To determine whether workers achieve maximum production from the use of the equipment.

3.           To find out the problems associated with the procurement and maintenance of office equipment.

4.           To verify the adequacy of furniture and fitting as it affect workers productivity.

5.           To find out the Impact of office equipment on company productivity.

1.4    Research Questions

The following research questions will be addressed in the cause of this study.

1.           What types of office equipment are available within the Kaduna Polytechnic?

2.           Do workers achieve maximum production from the equipment?

3.           How are the problems encountered in procurement and maintenance of office equipment?

4.           How adequate are the furniture/fittings within the Kaduna Polytechnic for effective production?

5.           How does the provision of adequate of office equipment impact on Kaduna Polytechnic productivity?

1.5    Significance of the Study

          1.      Modern Business or Employers

This study will be very important to the management of modern Kaduna Polytechnic and other employee of labour. This is due to the fact that good office equipment increases output and enhances the achievement of the set up goals. On the other hand faulty equipment are capable of causing chaos and winding up of an office.

2.      Potential Applicants

The research work will be relevant to applicants who intend to seek for employment in certain office. They would therefore be fully sensitized through this study on the knowledge and skills they should endeavour to acquired in the course of their training. It will also enlighten them on the problems that they may face in the office.

          3.      Practicing Employees      

This study will be beneficial to those workers who are already working with the Kaduna Polytechnic. Their attention will be drawn to some problems, which may affect the health, productivities etc. this research will also help the workers to carry out their work effectively with the use of modern office equipment to enable them perform as it is expected.

          4.      Future Researcher

This project will serve as a guide and source of information for further research on this subject matter or other related topics.

1.6    Scope of the Study

In this survey study, the researcher intends to investigate and assess how the office equipment is available in Kaduna Polytechnic. The study will determine whether workers achieve maximum productions from the uses of these equipments. It will expatiate to some extent, the problem associated with the procurement and maintenance of office equipment.

The researcher will intends to verify the adequacy of office future and fitting as it affect workers  productivity  and to find out the impact of office equipment on organization productivity.

1.7    Limitations of the Study

It is expected that this study may experience the following limitations.

Firstly, this work will not be able to study all the manufacturing company in Nigeria as such this may in a way limit the scope of this study.

Secondly, it expected that the management and staff of the selected firm may not want to divulge certain data required for the study and this may in way reduce the quality of data for the study. However, the researcher will try his best to mitigate these limitations and others unforeseen ones. This will be done by structuring and designing the instrument for data collection to elicit non sensitive information from them.

1.8    Definition of terms.

Equipment: office equipment includes all items of machines and furniture that facilitates office operation.

Copiers Per Minute: that is copies that are done in with speed and can achieve great increase.

Traffic Cop: controlling all the information flowing between the keyboard, the computer itself, the printer and various other devices you may have connected.

Machine Technology: involves the physical aspect of equipment processes and work layout.

Knowledge Technology: are the actual methods, systems and procedures involved in carrying out the work or converting input to output.

System board: is the central processing unit that is CPU in the computer system, it processes all data.

RAM: Random Access Memory is the temporary storage device of the CPU. Data stored here can easily be erased where there is power failure.

ROM: Read Only Memory, is the permanent storage device of the CPU programme in the ROM cannot be tempered with.

TIH and Swivel: this is a device in the CPU that enables the notation of any given task.

CHAPTER ONE

INTRODUCTION

1.1 BACKGROUND OF THE STUDY

Office technology and management is one of the departments in Ken Saro-wiwa Polytechnic approved by the NBTE syllabus in 2014, majority of its courses studied are technically oriented. These courses include: keyboarding, webpage design, desktop publishing, ICT I,& II, management information system, data Base management system, modern office technology.

An office manager is an indispensable asset to any organization or establishment in which their importance and sensitive position can never be over emphasized.  They play major roles in both the private and government establishment.  Most of the office managers are trained in the tertiary institutions of learning in Nigeria, especially in polytechnics

In view of this, poor machines and equipment under secretarial services and production of experienced secretaries.  Also the manipulative skill required, would be taking due to inadequate poor equipment mostly in polytechnics in Ken Saro-Wiwa polytechnic; Bori.

Among the departments that was really equipped then, secretarial studies department. This department was fully equipped with the necessary facilities in place like typewriters, which were the major equipment, the supplied typewriter ratio was a typewriter per student irrespective of the number of students, and they were able to sit each per typewriter during their skill drill task. The most interesting factor among other things was the efficiency of these typewriters despite the frequency of usage.

However, as time went on, the number of students offering the course increased tremendously far above the number of the said machine.

The increase in the numbers of students without a commensurate number of machines will surely have an adverse effect on the students’ achievement and on the other hands, the instructors.

Educational facilities are those equipments used by both lecturers and students to make learning easy and simple. They are new inventions, modernized. In order to adapt to new changes schools must introduce and teach students how to use them.

With technological growth, business organizations are increasing the scope of their business and consequently the duties of an office manager is increasing. Facilities are therefore needed to overcome the difficulties and ensure effective and efficient performance of their study. This is a frame of reference on which facilities are concluded.

1.2 STATEMENT OF PROBLEM

Office technology and management program in our polytechnics is in a poor state.  Due to the poor state of the nation’s economy, the program lacks the required materials and equipment for effective academic work.  Most of the typing pools of these still maintain the old and out-dated typewriters, sometimes even those that are available are in a very poor condition as they do not function well again.

The department never thought of the computer and other modern communication gadgets or equipment inspite of the importance of these machines in the modern time, that is why some office ,managers lack adequate knowledge of these required skills.  For this reason, they are unable to perform their functions effectively.

What are the consequences of lack of these instructional materials on secretarial studies programme? The main focus of this study is to find out the effects of poor modern instructional materials of the educational program of the department of office technology and management using ken saro wiwa polytechnic Bori, rivers state as a case study.

1.3 PURPOSE OF STUDY

Based on the above problems, this study is therefore designed to do the following:-

Identify the instructional materials available in the department of office technology and management ken saro wiwa polytechnic Bori, Rivers State.

Identify the instructional materials needed in the department.

Find out the adequacy of those available.

Find out the effects of those not available on the programme.

1.4 SIGNIFICANCE OF THE STUDY

This research work just like every study, its significance is to the extent, that it will enable the department of office technology and management to look into the poor machines and equipment in the department that will help the office technology and management student likewise the lectures to be conversant with the relevant facilities in place.

From this, the office technology and management student will know about some of the facilities commonly used in offices and make efforts to purchase them.  It will also strengthen the link existing between the employer of labour and the intending secretarial if these machines and equipment are adequately provided by the concerned.

Lastly, if these machines and equipment are adequate it will be a pre-requisite for the award of National Diploma (ND) and the Higher National Diploma (HND).

1.5 RESEARCH QUESTION

1.6 SCOPE OF THE STUDY

The scope of this research work is limited to the department of office technology and management of the Ken Saro-Wiwa polytechnic Bori. However, the study will be carried out by final year students and lectures of the institution, discussing the effect of poor machines and equipment on the students’ performance.
